Troubleshooting Email Sending & Receiving Issues

Issue 1: Cannot Send Emails (SMTP Problems)

Symptoms: Emails fail to send, SMTP errors, timeout issues.

Fixes:

  • Check SMTP settings (use Port 465 or 587, SSL ON).

  • Ensure authentication is enabled in email settings.

  • Check if your domain is blacklisted (use mxtoolbox.com).

  • If using Outlook, disable any antivirus/firewall that may block outgoing mail.


Issue 2: Cannot Receive Emails (IMAP/POP3 Issues)

Symptoms: No new emails, delayed messages.

Fixes:

  • Ensure your email storage quota is not full (cPanel > Email Accounts).

  • Check your SPF, DKIM, and MX records in cPanel > Email Deliverability.

  • Verify if emails are in the spam/junk folder.

  • If using Gmail/Outlook, make sure you’ve enabled Less Secure Apps (if required).


Issue 3: Emails Going to Spam

Symptoms: Sent emails land in recipients’ spam/junk folders.

Fixes:

  • Set up SPF, DKIM, and DMARC in cPanel > Email Deliverability.

  • Avoid using spam trigger words in subject lines (e.g., “FREE”, “Click here”).

  • Ensure your email domain is not blacklisted (use mxtoolbox.com).
